Director of Finance

The Director of Finance is a dynamic and experienced member of MOCA’s team that plays a crucial role in overseeing all operational aspects of the museum’s finances. The Director is an expert in in database management, financial controls and best practices. The ideal candidate ensures compliance while fostering a culture of support and collaboration across departments. The Director participates in the short-and-long term financial planning of the organization and drives financial sustainability to support our mission.

Essential Roles and Responsibilities

Financial Planning: Strategy & Budget

• Develop, in collaboration with the Deputy Director, financial strategy to support the organization's goals and long-term sustainability.

• Lead the preparation of the annual budget.

• Oversee implementation of financial plans and annual budgets for each department.

• Monitor and analyze financial performance across departments and provide regular reports.

Financial Reporting

• Prepare accurate and timely monthly, quarterly, and annual financial reports.

• Provide regular updates for various internal and external stakeholders on all finance functions and activities.

Financial Operations: Accounting and Finance

• Oversee all accounting and finance functions of the organization (including the 501(c)3 and the City of North Miami requirements).

• Ensure all fiscal practices meet the highest standard of integrity and compliance.

• Oversee and implement financial policies and procedures that maintain an effective internal control environment and oversee adherence to policies.

• Continually work toward promotion of efficiency and effectiveness of all finance functions, via process and workflow improvements.

• Provide accounting and financial related assistance to other departments, including participation in training staff on fiscal procedures and budget management as needed.

• Perform year-end accounting system close, including the production of 1099 forms.

• Lead annual audit preparation and Form 990 submission.

• Process payroll.

• Develop and maintain effective tools for managing grants, supporting grant budget preparation, tracking, and reporting.

Qualifications:

• Bachelor’s degree in Finance, Accounting, or related field. MBA or CPA preferred.

• A minimum of 5 years of relevant, progressive work experience, in the nonprofit sector.

• Strong knowledge of nonprofit accounting principles, regulations, and best practices.

• Excellent analytical skills with the ability to interpret complex financial data.

• Proficiency in financial software.

• Exceptional communication skills with the ability to present financial information clearly to diverse audiences.

• Strategic thinker with a track record of driving financial sustainability and growth.

• Ability to work well in a small, fast-paced, entrepreneurial team environment.

Requirements

• Bachelor’s Degree in Finance, Accounting, or Business (or equivalent experience)

• High-level experience using accounting software

• Mastery of Microsoft Office Suite

Desired

• Masters Degree or Certified Public Accountant Certification

• Experience with Financial Edge NXT, EDEN, and Altru

This is a full-time, salaried position, with hours typically Monday-Friday 9:30am-5:30pm. The position will require some early morning, late evening, and weekend hours as necessary due to museum events or other relevant meetings. While generally an in-person position, the museum does provide provisions for occasional hybrid work. A level 2 background check will be required upon the offer of employment.

Compensation: Starting at $85,000 including a competitive benefits package.

Membership and Donor Relations Manager

The Museum of Contemporary Art North Miami seeks an experienced and dynamic Membership and Donor Relations Manager to help grow the museum’s private support. Reporting to the Director of Development, they will oversee the museum’s membership program, and secure essential funding from individuals and corporations to support the museum’s operations, exhibitions, programs, community engagement efforts, special events, and other strategic initiatives. This position also ensures that donors experience high-quality interactions with the museum, fostering long-term engagement and support.

Major Areas of Responsibility:

  • Develop and implement an annual membership/annual giving plan, meeting or exceeding annual revenue goals.
  • Produces revenue reports and track progress toward annual revenue, member household, and retention and acquisition goals.
  • Is responsible for the discovery, cultivation, solicitation, and stewardship of a portfolio of prospects and donors, with an emphasis on membership, Curator’s Circle, and corporate partners.
  • Researches, identifies, and engages new prospects, drafting introductory meeting inquiries, follow up correspondence, and funding proposals.

  • Maintains an active calendar of face-to-face cultivation and solicitation calls.
  • Designs and launches compelling, innovative, and successful membership acquisition campaigns, and oversees annual Give Miami Day campaign.
  • Devises and implements a comprehensive donor relations and stewardship plan to strengthen donor engagement and re-engage lapsed members. 
  • Builds meaningful relationships with donors and strategically progresses qualified members through the major gifts pipeline.
  • Manages an efficient moves management system and pipeline for the Development Department in close collaboration with the Director of Development.
  • Establishes and manages membership affinity groups.
  • Actively solicits and closes gifts of up to $10,000.
  • Maintains an attractive suite of benefits for individual and corporate members and ensures benefit fulfillment. 
  • Working closely with the Director of Development, manages member events, annual donor dinner, receptions, cultivation events, and other special projects.
  • Produces high-quality correspondence, proposals, decks, printed materials, online content, and monthly membership e-blast.
  • Ensures smooth administrative operations within the Development Department.
  • Represents the museum at conferences, meetings, and events.

Requirements:

  • A minimum of three years of experience in a front-line non-profit fundraising role, preferably in the arts.
  • Knowledge of professional fundraising principles, practices, and procedures.
  • Proven ability to build and maintain relationships with funders.
  • Experience communicating with funders on the phone, via email, and in-person.
  • Proficient in Microsoft Office Suite.
  • Experience with donor databases/CRMs.
  • Experience managing special events.
  • Ability to learn new skills and tools quickly and proficiently.

Desired:

  • Experience working in an arts/cultural setting in South Florida.
  • Familiarity with Adobe Acrobat, Mailchimp, and Altru CRM.
  • Bilingual in Spanish and/or Haitian Creole.

This is a full-time, salaried position that requires limited early morning, late evening and weekend hours as necessary, especially during periods of high volume (Miami Art Week, exhibition openings, etc.). A level 2 background check will be required upon the offer of employment.

Compensation: Salary starting at $55,000 annually, commensurate with experience and including an excellent benefits package.

Grants Manager

The Museum of Contemporary Art North Miami seeks an experienced Grants Manager to oversee the museum’s portfolio of current and prospective grant funders to meet annual foundation and government revenue goals. Through research, cultivation, proposal writing, grant management, reporting, and stewardship, they will secure essential funding to support the museum’s exhibitions, education and public programs, community engagement efforts, general operating needs, and strategic initiatives. The position reports to the Director of Development and collaborates closely with other departments to execute high quality proposals and ensure grant compliance.

Major Areas of Responsibility:

  • Work with the Director of Development to create an annual strategy to secure foundation and government grants to meet annual fundraising goals.
  • Manage a portfolio of new and existing grant funders, maintaining positive funder relations.
  • Research and identify new sources of grant revenue in conjunction with institutional priorities.
  • Write and submit high quality letters of inquiry, proposals, and other application materials to secure competitive local, state, and national grant awards.
  • With approval from the Deputy Director, complete organizational budgets and liaise with project directors and other departments as needed to to submit project budgets that meet funder guidelines.
  • Execute contracts and project restatements to funders as necessary.
  • Work with project directors to ensure grant-funded projects are on-track and that obligations are fulfilled within the terms of the grant agreement.
  • Manage annual grants calendar to ensure timely submission of applications, contracts, reports, and funder communications.
  • Track progress toward annual grant goals, maintain grants management system, and prepare monthly reports.
  • Ensure funders are acknowledged in accordance with the terms of the grant agreement.
  • Ensure physical and digital grant files are accurate and up-to-date, including funder records in the museum’s CRM database, Altru.
  • Attend in-person and online grant meetings, panels, and webinars.
  • Other administrative duties as assigned.

Qualifications:

  • Knowledge of local, state, and national foundation and government funders, landscape, and trends.
  • Demonstrated success securing local, state, and national grants to meet annual fundraising goals, including new sources of funding.
  • Proven track record managing a robust annual grants calendar
  • Ability to write clearly, succinctly, and persuasively.
  • Strong editing skills.
  • Integrity, strong work ethic, initiative, results-driven, positive attitude, problem-solver.
  • Capable of working well under pressure, multi-tasking, and meeting deadlines.

  • Experience building and manipulating budgets.
  • Ability to learn new skills and tools quickly and proficiently.

Desired:

  • Experience working in an arts/cultural setting, preferably in South Florida.
  • Familiarity with Adobe Acrobat and Altru/other CRM database.
  • Experience using GrantHub or Monday.com for grants management.
  • Bilingual in Spanish and/or Haitian Creole.
